Brookhaven Clubhouse Rules and Regulations
The Brookhaven Clubhouse is available for rent by Brookhaven Residents ONLY that are in current (Paid up) status on your HOA Dues and do not have a balance. To pay for those or to check to make sure you don’t have a balance visit the HOA Management tab for the link.
- Clubhouse Rental Fee: $100
- Refundable Security Deposit: $50
- Total: $150
The $50 security deposit must be paid to secure the reservation and must be received before the two-week payment deadline.
The remaining $100 rental fee must be paid in full no later than 14 days before the scheduled event.

2. Cancellation Policy
Cancellations must be made at least 14 days before the scheduled rental date to qualify for the return of the $50 security deposit and any other payment associated with the rental.
Cancellations made less than 14 days before the event will result in forfeiture of the $50 security deposit.
3. Pool Access & Restrictions
The swimming pool is NOT included with clubhouse rentals.
Clubhouse rental guests are strictly prohibited from using the swimming pool.
🔴 IMPORTANT: Pool access is strictly prohibited during the clubhouse rental event, even for Brookhaven residents with active pool keycards who are attending the event.
🟣 WARNING: Unauthorized pool access or misuse of pool privileges may result in the resident’s pool access keycard being deactivated and could affect future rental privileges.
4. Rental Hours & Access
Renters may enter the clubhouse as early as 7:00 a.m. on their scheduled rental date for decorating and event preparations.
All events, cleanup, and removal of personal belongings must be completed by 10:00 p.m.
🔴 IMPORTANT: All renters and guests must leave the clubhouse by 10:00 p.m.
5.Clubhouse Amenities & Seating
The Brookhaven Clubhouse rental includes the following:
- 6 round white Lifetime tables – (2) 6 feet tables
- 48 white Lifetime chairs
- Full kitchen, including a full-size refrigerator, microwave, and oven
- Adjustable backdrop stand – expands up to 10 ft wide × 10 ft high, available for decorations and photo backdrops

6. Decorating Rules
🟣 IMPORTANT: Before moving any furniture, tables, or chairs, renters must take photos of the clubhouse’s original setup. These photos should be used as a reference to ensure that all furniture, tables, and chairs are returned to their exact original positions before leaving the clubhouse.
- Decorations ARE NOT ALLOWED ON walls, ceilings, doors, windows, woodwork or any decor.
- Nails, screws, staples, or other materials that may damage clubhouse surfaces are prohibited. There is a backdrop stand available for use.
- All decorations, balloons, and personal items must be removed before leaving.
- Furniture and tables must be returned to their original locations.
- Glitter, confetti, and other decorations that are difficult to clean up are prohibited.
🟣 IMPORTANT: Renters are responsible for any damage caused by decorations or improper use of clubhouse property.
7. Alcohol, Smoking & Conduct
Smoking and vaping are strictly prohibited inside the clubhouse or premises.
Alcohol Exception: Alcohol Policy: Champagne and wine may be permitted for guests 25 years of age and older under certain circumstances and must be approved by the clubhouse manager. . 🔴 IMPORTANT: All other alcoholic beverages are strictly prohibited.
Renters are responsible for ensuring that their guests behave appropriately and comply with clubhouse rules.
Any illegal activity, disorderly conduct, or damage to HOA property will result in legal action.
8. End-of-Event Cleaning Requirements
The renter is responsible for leaving the clubhouse clean and in the condition it was received.
Before leaving, renters must:
- Remove all food, beverages, decorations, and personal belongings.
- Clean tables, countertops, and other used surfaces.
- Sweep and clean floors as needed.
- Place all trash in the designated outdoor trash containers.
- Clean the kitchen and any appliances used.
- Ensure all garbage is emptied and placed in the outside cans including the bathroom garbage
- Return tables and chairs to their original positions.
- Turn off all lights.
- Make sure all doors and windows are securely closed and locked EXCEPT THE FRONT DOOR PLEASE DO NOT LOCK THE TOP OR BOTTOM WHEN LEAVING. Please Contact Cynthia Simon when exiting the building.,
🔴 IMPORTANT: Failure to properly following the end of event rules or damage to clubhouse property may result in partial or full forfeiture of the refundable security deposit.
9. Security Deposit & Renter Responsibility
The $50 security deposit is refundable following inspection of the clubhouse, provided the facility is left clean, undamaged, and all rental rules have been followed.
The renter is responsible for the actions of all guests attending the event and for any damage to HOA property.
Any damage or cleaning costs exceeding the security deposit may be charged to the renter.
🟣 IMPORTANT: Failure to comply with clubhouse rental rules may result in loss of the security deposit, suspension of future rental privileges, or other appropriate HOA action.

Please do not submit requests for multiple dates. Only request the date that you want to rent the clubhouse. All other requests for additional dates will not be accepted and will immediately be declined.
